Grand Vision Perspective

Barrie Elsden

Operations architecture and systems execution.

I build the operating systems that let businesses run themselves. Audit what's broken, design what should be there, ship the working system, keep it alive. Full stack, one operator, end to end.

About

Who I am.

Over two decades of working across franchises, startups, corporates, hospitality, construction, and conscious projects around the world.

In every one of those environments, the same pattern kept showing up: businesses that started with a genuine purpose would gradually lose touch with the people they were built to serve. The focus would drift from customers and teams to margins and spreadsheets. Quality would quietly decline.

The root cause was almost always the same: broken systems putting unnecessary pressure on good people. Manual processes, disconnected tools, duplicated work, missed details. Teams drowning in admin instead of doing what they were hired to do. The technology to fix this existed, but it was not reaching the businesses that needed it most.

Grand Vision Perspective was founded to change that. I look at what appears to be operational chaos and find the clear path to simplicity. Then I build it. Finance systems, CRM and revenue pipelines, AI agents, internal tools, infrastructure, the whole stack. Always end to end, always practical, always measured by the hours saved and the problems eliminated.

The last several years have concentrated that work in a particularly demanding arena: running product, operations, and systems at the intersection of hardware and software. Leading development of a commercial wellness technology product from prototype through international manufacturing. Coordinating supply chains across Indonesia, the Philippines, and China. Building the finance, CRM, and operations systems that keep multiple companies running day to day. Shipping my own personal AI assistant infrastructure. Rehabilitating broken automation platforms that were causing outages.

Based in Bali, working across Indonesia, Asia, and internationally.

How I work

Four phases, one operator.

Most consultancies stop at the plan. Most builders arrive without one. I do both, in sequence, so the work actually lands in the business and keeps running after handover.

01

Audit and Discovery

I walk into your operations and come out with a clear map. What is working, what is wasting money, what is waiting to break, what should exist that does not. Delivered as a prioritised roadmap you can act on, with or without me.

02

Design and Architecture

Turning the audit into a concrete systems plan. Tools, workflows, integrations, data model, sequencing, and realistic timelines. Written in language both the business and engineering sides can act on.

03

Build and Ship

Solo delivery of the system, end to end. I write the code, connect the services, configure the platforms, document the handover, and train your team. No throwing work over a wall.

04

Operate and Iterate

Optional ongoing engagement to run, monitor, extend, and evolve the system as the business grows. This is where most consultancies stop. I stay.

Capabilities

What I build.

Seven problem spaces I work across. Most engagements touch two or three. I do not outsource the build.

Finance and Operations Systems

Multi-entity accounting with Xero, QuickBooks, or similar. Bank feed ingestion via SFTP, CSV, or direct API. Automated reconciliation. Approval workflows via Telegram, WhatsApp, Slack, or web. Receipt capture pipelines. Daily, weekly, and monthly reporting dashboards. Full audit trail for regulators, investors, and internal review.

AI Systems and Agents

Custom AI agents with persistent memory, voice input, and real operational integration across calendars, email, documents, and tasks. Model Context Protocol servers for Claude and other LLMs. Meeting transcription and searchable multi-year archives. Multi-agent architectures with specialist routing. Not chatbots, actual agents that do work.

Data Pipelines and Integrations

ETL across Google Workspace, Microsoft 365, Xero, CRMs, banks, and payment processors. Clean, auditable, monitored. Google Sheets and Apps Script as a first-class platform. SQL and document stores. APIs that were never designed to talk to each other, made to talk cleanly.

REST APIs Webhooks SFTP Apps Script SQL Event-driven

Internal Tools and Dashboards

Real-time operations dashboards. Admin panels for non-technical teams. Telegram and WhatsApp control surfaces so ops can run from a phone. Document generators for PDFs, certificates, and structured reports. The tools your team actually uses to run the business, built to fit your team.

Custom dashboards Telegram bots WhatsApp Business Admin panels PDF generation

Infrastructure and DevOps

VPS setup and hardening on Linux, Docker, nginx, cron, systemd. CI/CD pipelines via GitHub Actions. Monitoring stacks with uptime, error tracking, and alerting. Offsite encrypted backups. Secrets management and security hardening. The foundation that makes everything else reliable.

Recent work

What I have actually shipped.

Selected engagements, anonymised. Different industries, same pattern: messy operation, clear system, clean result.

Finance Operations

Multi-entity finance operations system for a product group

Three legal entities, three bank accounts, three sets of bookkeeping. Built a unified finance operations system from scratch: automated bank feed ingestion, multi-currency reconciliation, approval queues via Telegram, direct Xero write-back, daily digests, receipt capture pipeline, full audit trail. Replaced eight plus hours of manual bookkeeping per week across the group.

CRM and Lead Pipeline

Automated lead qualification funnel from assessment to booked call

ScoreApp submission through scoring rules, budget gating, automated CRM task creation, Calendly invite dispatch, and tiered email nurture. Auto-escalation on high-value leads. Zero manual triage. Sales ops stopped being a bottleneck; the pipeline runs itself.

AI Systems

Personal AI operations assistant with multi-year memory

Custom agent built on Claude, with persistent memory spanning multi-year conversation history, voice input and output via Whisper and ElevenLabs, email and calendar integration, meeting transcription, and task management. Running on self-hosted infrastructure with full-text search across conversations, documents, and archived communications.

Training Platform

Production e-learning platform, zero to live in ten days

Six-module training platform with quizzes, automated PDF certificate generation, enrolment tracking, and completion analytics. Built and shipped in ten days for international hospitality clients.

Operations Consolidation

Google Drive and Gmail reorganisation across three companies

27,715 files organised across 16 shared drives. 16 GB of duplicates archived. 900 plus stale project tasks cleaned up. 9,600 email inbox triaged down to 1,700 actionable items. Moved from ad-hoc organisation to discoverable, role-gated structure.

Automation Platform Rehabilitation

n8n tenant rehabilitation with zero downtime

Audited 88 workflows and 1,235 nodes across a production automation tenant. Deep-inspected the 13 most critical flows. Applied six live fixes with no service interruption. Moved from ad-hoc automation to version-controlled workflows with CI, branch protection, error monitoring, and capacity-safe execution storage.

Security Hardening

Git history and credential hygiene across three codebases

Removed 47 secrets from git history. Migrated 43 credentials to a hardware-backed vault. Patched 17 vulnerabilities. Set up branch protection, pre-commit hooks, automated dependency updates, and AI-assisted code review. Every production PR now passes a security-first gate.

Monitoring and Reliability

Self-hosted monitoring stack replacing paid SaaS

Uptime monitoring, error tracking, and encrypted offsite backups, all with Telegram alerting, deployed on the client's own infrastructure. Replaced paid services at a fraction of the cost, with the client fully owning their telemetry data.

International Operations

Cross-border manufacturing coordination across three countries

Real-time status dashboards and role-specific reporting across production sites in Indonesia, the Philippines, and China. Daily visibility on production, QC, and shipping. Replaced an overloaded WhatsApp-and-email workflow with a clean operational picture.

Engagement models

How I work with clients.

Four ways to engage. Most projects start with an audit.

Principles

How I actually work.

  • Discovery starts with your workflow, not a framework.I watch how work actually moves in your business and find where the tax is being paid. The system gets designed around reality.
  • Every recommendation is justified by the cost of the problem it replaces. No nice-to-haves. If it does not pay for itself, it does not ship.
  • Working systems, not plans.I deliver things that run, not deliverables that sit in a folder.
  • No lock-in.Documentation and handover are part of the work. Your team should be able to run and extend the system without me.
  • Security and reliability are baked in.Secrets in vaults, not spreadsheets. Audit trails by default. Backups tested, not assumed.
  • Scope honesty. If something is more expensive or harder than it looks, I say so before the contract. If something is easier, the same.

Let's talk.

The best engagements start with a conversation about what is actually broken. No pitch deck, no pre-prepared pitch. Just the real picture.
